Site Schema/Esquisse:


  • Determine site extents and/or boundaries.

  • Analyse site opportunities and constraints.

  • Prepare Schema and/or Esquisse outlining relevant functional relationships and spatial diagrams.


Feasibility Studies:


  • Establish with the client project objectives and limitations.

  • Determine site extents and/or boundaries.

  • Analyse site opportunities and constraints.

  • Investigate and determine statutory planning restrictions and guidelines.

  • Coordinate and record meetings with client, consultants and other parties.

  • Establish the key financial metrics for the project.

  • Prepare Schema and/or Esquisse outlining relevant functional relationships and spatial diagrams.

  • Provide a report of conclusions and recommendations.


Building Assessment and Recording:


  • Visit the property and investigate any pre-existing or potential maintenances and OS & H issues.

  • Compile a detailed photographic record of the building and site.

  • Conduct a detailed measurement of the building.

  • Coordinate the survey of the building and site by consultants.

  • Prepare and issue to client drawings outlining observations and including list of recommendations on issues that need to be addressed with supporting photographs.

  • Please note that MODUS Design cannot assess structures and/or services (for structural adequacy, electrical compliance or inspect for active vermin or insect infestations)  unless these specialised consultants are appointed.


Concept & Schematic Design:


  • Receive client project briefing detailing budget expectations and any specific requirements or operational needs.

  • Prepare concept plans in basic accordance with the Building Code of Australia (BCA), applicable Australian Standards and the requirements of relevant regulatory authorities.

  • Present the project concept to client for review and comment.

  • Adjust the plans according to feedback and to a point where the brief and budget are satisfied and the project is ready to move into the Development Application submission stage (or Detailed Design as applicable).


Development Application:


  • Prepare Development Application drawings (based on the approved concept plans) including site plan, floor plan and necessary elevations including the incorporation of digital survey information supplied by licensed surveyor (Note – surveyor to be appointed separately by client).

  • Draft letter in support of development application, complete council application forms, present to land-owner for sign-off and submit to council.


Design Development & Building Permit:


  • Undertake initial orientation meeting with appointed project consultants.

  • Continue with design development including ongoing liaison with project consultants (including incorporation of the findings of the preliminary BCA Report and preliminary Energy Efficiency assessment by others).

  • Finalise Building Permit application-ready documentation in line with relevant Australian standards and the Building Code of Australia to the level required for achieving a Certificate of Design Compliance (by others).

  • Co-ordinate documentation tie-in and related liaison with consultants including over-checking of their respective documentation packages (including incorporation of the final BCA report and final Energy Efficiency assessment).

  • Preparation of Architectural building permit documentation package (excluding Energy Efficiency assessment) for lodgement with Permit and other relevant authorities such as FESA (by others) - Includes three sets of documents for Permit Authority submissions and sets as required by other relevant authority approvals


Signage Application:


  • Confirm signage requirements in consultation with client.

  • Prepare signage plans and application letter, complete relevant forms and submit for council approval.

  • Note – it is assumed that the signage contractor will prepare and lodge any signage related building licence applications including any necessary engineering certification.


Tender Issue and Management:


  • Check all tender drawings including consultant drawings and coordinate changes as applicable.

  • Final collation and review of all MODUS and consultant tender-ready drawings sets and issue formal Tender sets from MODUS Design offices including 1 x hard copies and 1 x soft copy of all documents to each Tendering party.

  • Issue complete Tender drawing and specification set to client for records including 1 x hard copies and 1 x soft copy of all documents.

  • Respond to Tenderer’s queries during pricing (including relaying queries to and clarification from consultants) and issue addenda or clarifications to all Tendering parties and client.

  • Log receipt of and assemble all conforming or valid Tenders at MODUS Design office for presentation to client for review.


Tender Review / Analysis:


  • Review valid tenders and tabulate data ahead of 1st review meeting.

  • Attend 1st Tender Review meeting to analyse tenders and investigate discrepancies.

  • Draft letters to selected Tenderers requesting further information or clarifications as necessary.

  • Collate responses and tabulate revised data ahead of 2nd Tender Review meeting.

  • Attend 2nd Tender Review meeting and assist in refining Tenderers.

  • Attend meetings with shortlisted contractors with a view to resolving any contractual issues either party may have and confirm the suitability of their key project staff.


Contract Documentation:


  • Incorporate any adjustments required in the Permit Authority conditions in the documentation moving forward.

  • Finalise project-specific specification.

  • Complete all necessary construction and finishes detailing.

  • Adjust plans to suit any changes resulting from tender negotiations the permit process and issue construction-ready drawings sets including specifications and consultants documentation to the contactor.

  • Issue complete construction drawings and specifications set to client for record including 1 x hard copies and 1 x soft copy of all documents.


Contract Administration and Practical Completion:


  • Consult with Clients to obtain the variable parameters they wish to define in the construction contract documents.

  • Prepare a Draft Tender Specification addressing any specific requests in the Appendices and Conditions of Tendering / Contract.

  • Meet with Client to review Draft Specification and amend document as necessary.

  • Administer the contract through construction to handover.


Construction Advice / Site Instruction:


  • Respond to contractor’s requests for clarification or technical advice during the construction phase including attending site and/or progress meetings where necessary to investigate matters raised.

  • Liaise with relevant project consultants and contractors as necessary to arrive at a solution.

  • Issue (or arrange for the issue) of written or verbal instruction to the relevant contractor directing the way forward.


Defects Inspection & Handover:


  • Attend site following practical completion to conduct a thorough defects inspection together with the site supervisor.

  • Prepare a detailed report listing defects and issue to lead contractor for actioning and client for record keeping.

  • Attend site immediately prior to handover to confirm the recent works are acceptable.

  • Review all materials and workmanship warrantees and service manuals obtained from the builder.

  • Attend handover.


As-Built Documentation:


  • Collate marked up as-built plans from the building contractor and/or their subcontractors.

  • Alter the digital plans of the project to ‘As-built’ status and adjust to reflect revisions during construction period and RFI resolutions.

  • Provide two full size (2) hard copies and a soft copy issue to client for archival purposes.
